Setting up and managing school invoice accounts

A supplier invoice account should be established through the school’s authorised finance process. Confirm who may request, approve and receive purchases, and verify the provider’s current terms. This page is practical guidance; it does not open a Schools Direct credit account, approve payment terms or provide a form for submitting banking or financial details.

Confirm authority and the supplier relationship

Ask the school finance team who can authorise a new supplier account and which information may be shared. Use the supplier’s verified account-opening process and retain its current terms for review. A request for an account does not establish acceptance, a credit limit or permission for any member of staff to place an order.

Record the organisation’s correct billing identity, approved contact role and any purchase-order requirements. Keep administrative ownership with the school through its managed arrangements. Distinguish the person requesting resources from the person authorising expenditure and the role responsible for processing invoices.

Connect orders, receipts and invoices

For a departmental resource order, keep the approved specification and purchase reference with the supplier confirmation. When goods arrive, have the receiving staff record quantities and discrepancies. Finance can then compare the invoice with the authorised order and what was actually received.

Agree how partial deliveries, substitutions and credits are reported. A box arriving at reception is not sufficient evidence that every invoiced item has been accepted. Keep unresolved differences visible to the responsible staff instead of allowing an invoice to move through the process without the necessary information.

Protect changes and maintain the account

NCSC guidance describes business payment fraud involving impersonated correspondence and altered payment instructions. Treat requests to change bank details through the school’s established verification controls, using a trusted independent contact route rather than relying on the new message alone.

Review authorised users and notification contacts when staff change roles. Keep agreed terms, account references and reconciliation records in the approved finance system, with access appropriate to each role. Do not place passwords or banking credentials in a general resource-planning document. Periodically confirm that the account is still needed and that outstanding queries have an owner before changing or closing the relationship.

Action checklist

  • Obtain finance authorisation before requesting an account.
  • Confirm billing identity, terms and purchase-order requirements.
  • Match invoices with approved orders and recorded receipts.
  • Verify payment-detail changes through established independent controls.

Common questions

Does an invoice account allow any member of staff to buy on credit?

No. Supplier acceptance and the school’s internal purchasing authority are separate matters. Follow the authorised roles, limits and approval process established by the finance team.
