Comparing school discounts, coupons and bulk offers

A discount percentage is only one part of a school purchasing decision. Compare the exact resources, usable quantity and complete cost under the supplier’s current terms. This guide helps evaluate coupons and bulk offers; it does not issue a code, advertise a live promotion or promise that a reduction will apply to an order.

Compare like-for-like requirements

Begin with a clear list of the resources and quantities the school needs. Check model, pack size, included components and any compatibility requirements. An offer for a different specification may not be a useful saving, even when its percentage reduction is larger.

Obtain the supplier’s current eligibility, expiry and exclusion terms. Check whether the reduction applies to every item, only part of a basket or a specific payment or delivery arrangement. Keep the confirmed quotation or order summary with the school’s approval record so the comparison can be reviewed later.

Calculate the useful quantity and complete cost

For a department needing sixty suitable folders, compare offers by the number of folders it can actually use. A larger mixed pack may include formats that do not fit the school’s filing system. Separate useful surplus with a genuine future purpose from stock that merely increases the apparent quantity.

Include delivery, required accessories and other applicable charges in the final comparison. Consider storage and any ongoing consumables where relevant. DfE buying guidance encourages looking at costs across the requirement’s life, so an initial discount should be assessed alongside the practical cost of using and maintaining the purchase.

Keep approval separate from promotion pressure

Follow the school’s buying rules and required authorisation even when an offer has a short deadline. If the specification or terms cannot be checked in time, record the unresolved point rather than treating urgency as evidence that the purchase is suitable.

Before placing an order with the actual supplier, confirm that the final summary matches the approved comparison. Check quantities and any substituted items after a coupon is applied. On receipt, compare the goods with the same record. Review whether bulk purchases were used as planned, giving future buyers evidence about the quantities and offers that served the school well.

Action checklist

  • Compare exact specifications and pack quantities.
  • Verify current eligibility, expiry and exclusions.
  • Include all applicable costs and useful surplus.
  • Retain the final approved summary and check the delivered goods.

Common questions

Is the largest advertised percentage discount the best deal?

Compare the complete cost of the correct usable resources. A larger percentage on unsuitable quantities, excluded items or a higher starting total may not improve the school’s purchase.
