Planning school visitor reception and identification
Visitor security depends on a consistent school process, supported by suitable records, identification and staff responsibilities. Plan the whole visit from arrival to departure, including unexpected visitors and busy reception periods. Equipment such as badges or signing-in systems should serve that process and be reviewed when access arrangements or school activities change.
Define the reception process before choosing supplies
The DfE school-security guidance directs visitors through the school’s reception arrangements and school-controlled identification. Use the school’s current safeguarding and access procedures to determine the required checks, authorisation and supervision for each type of visit. Avoid creating a blanket rule from a badge colour or a supplier’s generic visitor-book design.
Identify who can approve an expected visitor and how reception contacts them. Give staff a clear escalation route for an unexpected arrival or uncertain identity. Keep the visitor’s purpose and the appropriate school contact central to the process rather than treating completion of a form as automatic permission to enter.
Test the visit from arrival to departure
For a visiting workshop leader, prepare the appointment, arrival instructions and responsible host in advance. Rehearse reception, identification, any required briefing, movement to the activity and departure. Confirm how the school knows the visitor has left and how issued items are returned.
Choose records and badges that support these steps. Check legibility, the information visible to others and the practical method for distinguishing current identification. If an electronic system is used, have the relevant staff review data handling, access and a workable contingency when the system is unavailable.
Maintain supplies and staff understanding
Keep badges, holders and other authorised supplies organised, with damaged or obsolete items removed. Store visitor records through the school’s approved process rather than leaving previous entries visible to every new arrival. Review the reception layout so sensitive paperwork and screens are handled appropriately during busy periods.
Include the process in staff handovers and review it after changes to entrances, events or contractor arrangements. Record practical problems, such as a host who cannot be reached or a return point visitors overlook. Resolve those problems through the school’s responsible leads, keeping the system understandable for both reception staff and the people expected to use it.
Action checklist
- Use current school safeguarding and access procedures.
- Identify the host and authorisation route before arrival.
- Test sign-in, identification, supervision and departure together.
- Plan record handling and a system-unavailable contingency.
Common questions
Does a visitor badge by itself authorise someone to move around school?
Follow the school’s approved access and supervision arrangements. A badge supports identification within that process; it does not replace authorisation or the host’s responsibilities.
