Planning school premises resources and maintenance work
Premises management brings routine checks, maintenance, supplies and building changes into one accountable process. Start with clear responsibilities and a usable record of the estate. Distinguish tasks staff can manage within their role from work needing competent specialists, then track issues through to completion rather than leaving them as recurring entries on a checklist.
Establish who owns each part of the work
DfE estate-management guidance emphasises defined responsibilities, competence and ongoing management. Use the school’s governance and premises arrangements to identify who commissions work, reviews findings and confirms completion. A contractor performing a task does not remove the need for the school to understand and manage its arrangements.
Create a practical asset and location record for equipment that needs maintenance. Include identification, relevant instructions, responsible role and where service records are held. Keep the record usable by a colleague covering an absence, rather than depending on one caretaker’s memory of every item on site.
Turn observations into prioritised actions
Provide a clear route for staff to report a fault with its location and effect. Ask for concrete information, such as a cupboard door that will not close or an inaccessible handwashing dispenser. The responsible person can then assess urgency, arrange temporary controls where needed and commission the appropriate work.
For a termly classroom review, combine observations about furniture, displays, access and resource storage. Identify which issues need repair, which need a change in routine and which require specialist assessment. Record an owner and next step for each action so the review produces a manageable work plan.
Coordinate supplies, projects and evidence
Keep routine consumables linked to the tasks they support, with approved products and replenishment responsibility. Plan projects around building access, school activities and the people affected. Check that a delivery, installation or holiday contractor visit has a named contact and a suitable handover arrangement.
Retain completion evidence and update the asset record when equipment changes. Review recurring faults to decide whether a different specification, layout or maintenance approach is needed. Use the school’s applicable compliance requirements and competent advice to set schedules; do not invent a single inspection interval for unrelated systems. A useful premises plan remains current as the estate and school activities change.
Action checklist
- Define commissioning, review and completion responsibilities.
- Keep usable asset, instruction and service records.
- Give every reported issue an owner and next step.
- Set schedules from applicable requirements and competent advice.
Common questions
Should every premises task use the same inspection timetable?
No. Different systems, activities and instructions create different requirements. Establish schedules through the school’s applicable obligations, product information and competent advice.
