Personalised school gifts: artwork, proofing and handover

Personalised gifts need careful preparation because a small spelling or artwork error can affect the whole order. This guide helps schools organise a class-made gift project, check proofs and plan distribution. It focuses on design and administration without making claims about a particular supplier’s stock, services, prices or production times.

Define the gift and its purpose

Choose a practical format that suits the intended recipient and the children’s contribution. Agree whether the design will include names, drawings, a shared message or a date. Consider privacy before putting identifying information on an item that may be displayed or carried publicly. Use the school’s approved arrangements for any pupil artwork or personal details.

Prepare artwork deliberately

Give children a template suited to the actual printable or usable area. Explain any constraints on line thickness, colour or positioning supplied for the chosen production method. Keep original artwork and a clear record of which version is approved. Do not assume a small design will remain readable when enlarged or reduced.

Check a complete proof

Review every name, spelling, date and image placement with the responsible staff member. A proof should show the whole item, including any text near edges or folds. Where possible, inspect a sample of the material or finish before committing to a larger batch. Record approval clearly so later changes do not rely on memory.

Plan production and collection

Confirm the actual arrangements with the selected provider before communicating dates to families. Allow time for corrections and avoid promising a turnaround that has not been agreed. Offer an inclusive way for pupils to participate without requiring a purchase. Package items so names are checked discreetly at handover and uncollected gifts can be tracked. After completion, review whether the process respected children’s contributions, kept data handling proportionate and produced a useful object rather than unnecessary personalised clutter.
